Cloudpilar Limited ("Cloudpilar", "we", "us") respects your privacy. This policy explains what personal data we collect through this website and our client work, why we collect it, and the choices and rights you have.
1. Who we are
Cloudpilar Limited is a Microsoft-certified AI consultancy and cloud services company, headquartered at 23 Derwent Road, Bristol BS5 7SJ, United Kingdom, with an additional office in Lagos, Nigeria.

2. What data we collect
We collect personal data in a small number of ways:
- Enquiry & contact form data — your name, email, company, role, area of interest, budget range, timeline and message when you submit our contact form, book a call, or email us directly.
- Client engagement data — information you provide once you become a client, governed by the terms of your specific engagement letter or contract.
- Technical data — standard server and hosting logs (such as IP address, browser type and pages visited) kept by our hosting provider for security and reliability purposes.
We do not currently use third-party analytics, advertising, or behavioural tracking on this website. See our Cookie Policy for details.
3. How we use your data
- To respond to your enquiry and arrange a discovery call.
- To deliver, manage and invoice services once you're a client.
- To send you information you've asked for about our services.
- To meet our legal, tax and regulatory obligations.
- To keep our systems and client work secure.
4. Our legal basis
Under UK GDPR, we rely on one or more of the following legal bases depending on the situation: your consent (for example, submitting the contact form), the steps necessary to enter into or perform a contract with you, our legitimate interests in running and promoting our business responsibly, and our legal obligations (such as tax and accounting records).
6. International transfers
Your data is primarily processed in the UK. Where data is transferred outside the UK — including to our Lagos office — we put appropriate safeguards in place, such as standard contractual clauses or equivalent measures, to keep it protected to UK standards.
7. How long we keep it
We keep enquiry data for as long as needed to respond to you, and typically for up to 24 months afterwards in case you get back in touch. Client engagement data is kept for the duration of the contract plus any period required by law (for example, UK tax rules require certain financial records to be kept for six years). We delete or anonymise data once it's no longer needed.
8. Keeping your data secure
We apply the same discipline to our own systems that we apply to client work: access controls, encryption in transit, and regular review of who can see what. No system is perfectly secure, but we take reasonable technical and organisational steps to protect your data against loss, misuse or unauthorised access.
10. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you.
- Ask us to correct inaccurate data.
- Ask us to delete your data, in certain circumstances.
- Restrict or object to certain processing.
- Ask for your data in a portable format.
- Withdraw consent at any time, where we rely on consent.

11. Children's privacy
This website and our services are directed at businesses, not children. We don't knowingly collect personal data from anyone under 16.

We may update this policy as our website and services evolve. Material changes will be reflected by an updated “last updated” date at the top of this page.
